We’ve settled on pretty much everything, but one element comes to mind that we haven’t addressed.
Last year Idaho added an event the first night beyond just the casual dinner after a reception. They arranged a boat cruise before the BBQ dinner. (They did it previous time as well.) So, while they did save money on some aspects of the convention – no keynote speaker, for example – this was not an insignificant expense. (I have a call into him to ask about that.)
Similarly, when OLTA hosted last it was also at Skamania Lodge where we are this year, and they did the full casual meal on the first night at the Columbia Gorge Museum/Interpretive Center. This is just down the hill from Skamania Lodge.
I just talked to them about that and they do offer their facility. It’s not cheap – $2,500 for up to 100 attendees (plus $9 per person over the 100 count). You have to arrange for catering. They have an arrangement with Skamania Lodge for the catering, and there is no extra charge by the venue for tables, chairs (which the venue has, but they don’t set them up), set up etc. That is, you pay Skamania for the catering (I haven’t asked them about it, but suppose their X $ per person is higher that just the food if it was at the Lodge) but it includes the Skamania catering staff setting up the tables, chairs, serving tables, etc. If you use another caterer, you not only pay for the food, but pay extra to the venue to rent their tables & chairs.
Anyway, I thought I’d throw this out there just so we can discuss it. We are planning a more bare bones approach than what Idaho has offered – including cutting out paying anything to Skamania for a Monday dinner.
